Invite and manage members

Invite people to your Studio, change their role, remove or restore them, and give them a link to set a new password.

Admins use the Members page to decide who can sign in to the Studio and what each person can do. Open it from Members at the bottom of the sidebar.

Only admins see Members in the sidebar. A member who opens the page sees For admins only and a Back to overview button.

Roles

Every person has one of two roles. The Studio describes them like this:

  • Member: Uploads and manages videos, API keys and webhooks.
  • Admin: Also manages members and sees server health and metrics.

For the full list of what each role allows, see Roles and what each can do.

Invite someone

An invite is a link that lets new people join your Studio. Each person chooses their own name, email and password when they join. One link can be for one person or for a group.

On the Members page, click Invite people.
Under Role, pick Member or Admin. Member is the default.

Under Who can join, pick One person, A number of people or Anyone with the link. For A number of people, enter a whole number from 2 to 1000 under Number of people.

Under Link works for, pick 1 day, 7 days or 30 days. 7 days is the default.

Click Create link. The dialog changes to Invite link created.

Click the copy button next to the link, send the link to the people you want to invite, then click Done.

A link for more than one person joins everyone as a member. When you pick Admin, Who can join switches to One person and cannot be changed, because anyone can pass a link on.

Under the link, the dialog says who can join with it and the exact date and time it stops working. The Studio shows the link only once: if you lose it, revoke the invite and create a new one.

What an invited person sees is on Join from an invite link.

Pending invites

The Pending invites section lists every invite that still lets someone join. Its columns are Role, Joined, Created by, Created and Expires (the time left). Joined counts the people who joined with the link: "3 of 10" for a link for 10 people, "4 (no limit)" for a link for anyone. An invite leaves the list when its last person joins, when it expires, or when you revoke it.

To withdraw an invite, open the row menu, choose Revoke, then click Revoke in the Revoke this invite? dialog. The link stops working right away for anyone who has not joined yet. People who already joined stay members. You cannot undo this.

The members table

The table lists everyone, including removed members:

  • Name: your own row carries a You badge.
  • Signs in with: each way the person signs in, for example Password with their email or GitHub with their @login.
  • Role: a menu to switch between Member and Admin.
  • Status: Active, or Removed for someone who can no longer sign in. Removed rows show in lighter text.
  • Last sign-in: when they last signed in, or Never.

Change someone's role

Pick a new role in the Role column, or open the row menu and choose Make admin or Make member. The Studio confirms with a message such as "Alex is now an admin." The new role takes effect right away, for the person's Studio sessions and for the API keys they created.

If you make yourself a member, the Studio asks Stop being an admin? first. When you click Make me a member, the page reloads without Members, Health and Metrics. Another admin can make you an admin again.

You cannot change the role of a removed member until you restore them.

Remove a member

Open the row menu of the person and choose Remove.
In the Remove this member? dialog, click Remove.

The person can no longer sign in, every browser they are signed in on is signed out right away, and the API keys they created stop working. They stay in the table with the status Removed.

Remove is not offered on your own row. Another admin has to remove you.

Restore a member

Open the row menu of a removed member and choose Restore. They can sign in again with the role they had before, and their API keys work again.

When a member forgets their password, an admin creates a reset link for them. With it they set a new password.

Open the row menu of the person and choose Create reset link.
Click Create link in the Create a reset link? dialog.

In Reset link created, click the copy button next to the link, send the link only to that person, then click Done.

The Studio shows a reset link only once. It works once, for 7 days. When the person sets a new password with it, their other browsers are signed out. What they see is on Set a new password from a reset link.

A reset link also works for someone who signs in with GitHub only: with it they choose an email and password, so they can sign in with a password as well.

The last admin

The Studio always keeps at least one admin who can sign in. If you try to make the last such admin a member, or to remove them, the Studio refuses and shows "This is the last admin who can sign in. Make someone else an admin first." Make another person an admin, then try again.
